Voice Mail Instructions

Thank you for selecting 3 Rivers Voice Mail. Before you start, please take a moment to look over this instruction guide and familiarize yourself with the features you will be using. If while looking through this guide you see another feature you’d like to add to your package, just give us a call. 3 Rivers Voice Mail works like a built-in answering machine to automatically answer incoming calls. It greets callers with your pre-recorded greeting and allows them to leave messages for you.

Voice Mail Packages

There are 3 Voice Mail Packages and 4 sets of Optional Features. The 3 Packages are:

Voice Mail Basic

Basic voice mail with message indicator. All unanswered calls, even when you’re on the phone, go to voice mail and messages are automatically saved. Your dial tone will stutter to indicate you have a message, and if your phone is properly equipped you will see a message-waiting indicator light or message.

Important Note: The message waiting stutter dial tone indicator may cause a timing issue when dial-up Internet is used on the same line. Reprogramming of dial-up configuration may be necessary. Internet Tech Support is available to help you do this.

Package Includes:

Per-Message Notification–allows you to set up a predefined number to notify you of all new messages as they arrive. Notification can be sent to any telephone or pager.

Scheduled Delivery–allows you to be called at a predefined number at a preset time on any scheduled day to be notified of the current message count. This can also be used as a “wake-up” or “reminder” service.

E-mail Notification–will send your voice mail messages to your predefined e-mail address as an audio (.wav) file. When the message is accessed on your e-mail and deleted, it remains as a new message in Voice Mail. Once set up, you may enable or disable the feature at any time by following voice prompts.

Custom Greetings–allows you to create up to 10 greetings for specific callers based on the calling number.

Holiday Greetings–allows you to play a certain greeting on a particular date. Only one time frame is provided.

Voice Mail Announcement

An announcement only service without voice mail. The announcement message can be up to 5 minutes long. This may be used stand-alone or with Voice Mail.

Voice Mail Customized

Offers you a customized package to meet any special Message needs. This will start with basic Voice Mail and add custom options that you find useful.

Timed Greetings–allows you to configure, up to 3 times per day, specific greetings to override the default greeting. These greetings can run on all weekdays Monday-Friday, or you may enable or disable individual days. Greetings can be up to 3 minutes in length.

Voice Mail Optional Features

Option 1

Shared Mailbox (for two lines)–allows you to have a common mailbox shared by two 3 Rivers provided telephone lines. In a two-line application one number must be provided by 3 Rivers wireline, while the other can be provided by 3 Rivers wireline or 3 Rivers wireless. Message waiting indication is delivered to both phones.

Option 2

Shared Mailbox (3 or more lines)–allows you to have a common mailbox shared by three or more 3 Rivers telephone lines. To use this option you must also use Option 4 and you must apply the option to each line.

Option 3

Auto Attendant with Second Private Mailbox–allows you to create a menu greeting that directs callers to dial a choice of mailboxes or be directed to the General Delivery mailbox.

Option 4

Subsequent Private Mailbox–an additional private mailbox on the same line, after the second private mailbox (Option 3) when Auto Attendant has been added. To use this option you must also use Option 3. You may add any of the above options to Voice Mail.

How to Set Up Your Voice Mail Service

  1. From your main telephone number, call the Voice Mail retrieval number, which is your exchange plus 1444. For example, 467-1444 or 842-1444 (you may alternatively dial *99 to access your Voice Mailbox)
  2. Recorded instructions will guide you through each step.
  3. Your temporary password is 0000, followed by the # key.
  4. You will be instructed to identify this mailbox by name. This is not the greeting. To record a name press 1. Record your name, then press the # key. Press 9 to end.
  5. You will be told if you have any messages.
  6. You will be given additional menu options. Please take this time to change your password (must be 4-10 digits) and record your personal greeting. Directions follow.

To Record A Greeting

  1. From your main telephone number, dial the Voice Mail retrieval number or *99.
  2. Press 2 for Personal Options.
  3. Press 1 to Change/Record Greeting
    1. Press 1 again to record the default greeting.
    2. Press 2 to record a Timed Greeting.
    3. Press 3 to record a Holiday Greeting.
  4. When finished press #, then press 3 to save your greeting.
  5. Press 9 to exit. Your greeting is now set up. You may change your greeting at any time by following the above steps.

To Change Your Password

  1. From your main telephone number, dial the Voice Mail retrieval number or *99.
  2. Press 2 for Personal Options.
  3. Press 2 again to change your password. Your password must be between 4 and 10 digits. A voice prompt will ask you to enter and reenter your new password.

Abuse Protection

When you or another user accesses the system and fails to enter the correct password, or fails to select a valid mailbox after a specified error limit is reached, the calling line is locked out of Voice Mail. System security is maintained and you are not denied service. You may call the 3 Rivers business office during normal business hours to have your Voice Mail access reinstated.

To Check Messages From Your Main Number

  1. When the message indicator stutter dial tone is given, dial the Voice Mail retrieval number provided for your area. See page 9. Alternatively, you may dial *99.
  2. When you hear the voice prompt, enter your password followed by the # key.
  3. You will be told how many messages you have in your mailbox and how many are new.

To listen to your messages Press 1

To rewind the current message Press 1

To fast forward the current message Press 3

To play the previous message Press 4

To forward the message to another mailbox Press 5

To play the next message Press 6

To delete the current message Press 7

To hear the time and date of the message Press 8

To exit Press 9

Messages may be retrieved in any order. All messages are automatically saved until deleted by you. You are allowed a maximum of 45 messages to be saved for up to 30 days, after which they will be automatically deleted. Any message may be forwarded to another subscriber of Voice Mail. When you have forwarded a message, you still have the original message until deleted by you.

To Check Messages From A Remote Location

  1. If you are within a 3 Rivers local calling area, call your Voice Mail retrieval number or *99. If you are at a phone that is NOT subscribed to Voice Mail, you will be asked to enter your mailbox number (your 7-digit main number followed by the # key).
    1. If you are at a phone that IS subscribed to Voice Mail, you will immediately hear a password prompt.
      • Press the * key to interrupt the password prompt.
      • You will be asked to enter your mailbox number (your 7-digit main number followed by the # key).
    2. If you are out of a 3 Rivers local service area you will need to dial 1-406 followed by your retrieval number. Long distance charges will apply. You will be asked to enter your mailbox number (your 7-digit main number followed by the # key).
  2. When you hear the voice prompt,
    enter your password followed by the # key.
  3. You will be told how many messages you have in your mailbox and how many are new. Messages may be retrieved in any order. All messages are automatically saved until deleted by you. You are allowed a maximum of 45 messages to be saved for up to 30 days, after which they will be automatically deleted. Any message may be forwarded to another subscriber of Voice Mail. When you have forwarded a message, you still have the original message until deleted by you.

To Change Your Identification Name

  1. From your main telephone number, dial the Voice Mail retrieval number or *99.
  2. Press 2 for Personal Options.
  3. Press 3 to Change Name.
  4. Press 1 to record your Name.
  5. When finished, press the # key to save.
  6. Press 2 to hear your new Identification Name.
  7. Press 9 to exit.

To change the language on your voice mail (you may choose English or Spanish)

  1. Dial the voice mail retrieval number or *99
  2. When you hear a voice prompt enter your password followed by the # sign then press 5.

To Send A Message

This feature allows you to send a recorded message directly to another mailbox without placing a call.

  1. From your main telephone number, dial the Voice Mail retrieval number or *99.
  2. Press 2 for Personal Options.
  3. Press 3 to Send a Message.
  4. A voice prompt will ask you to record your message at the tone, followed by the # key.
  5. The voice prompt will ask you to enter the destination mailbox.
  6. You will be given options:
    1. To Send the Message Press 1
    2. To Request Message Delivery Confirmation Press 2
    3. To Re-enter the Destination Mailbox number Press 3
    4. To Exit Press 9

To Work With Groups

Groups allow you to send the same message to a group of numbers. You are allowed up to 10 distribution groups consisting of up to 15 numbers per group.

  1. From your main telephone number, dial the Voice Mail retrieval number or *99.
  2. Press 2 for Personal Options.
  3. Press 4 to work with Groups.
  4. You will be given options:
    1. To Modify an existing Group Press 1
    2. To Create a new Group Press 2
    3. To Delete a Group Press 3
    4. To List all Groups Press 4
    5. To Exit Press 9
  5. After each option you will be asked to assign/enter a 2-digit number for the group. (i.e. 01, 02, 03-10)

To Work With Custom Greetings

  1. From your main telephone number, dial the Voice Mail retrieval number or *99.
  2. Press 2 for Personal Options.
  3. Press 5 to Work With Custom Greetings.
  4. You will be prompted for entry of the 10-digit number (406-xxx-xxxx) of the calling party you wish to hear the greeting. To hear a list of all greetings press 1 followed by the # key.
  5. You will be given options:
    1. To Record a New Greeting Press 1 (Then press # to save)
    2. To Play a Greeting Press 2
    3. To Save a Greeting Press 3
    4. To Re-record the Calling Party’s Name Press 4
    5. To Enter a New Calling Number Press 5
    6. To Delete a Greeting Press 6
    7. To Exit Press 9 TO WORK WITH GROUPS
    8. You will be given options:
    9. To add a Mailbox to the Group Press 1
    10. To Remove a Mailbox from the Group Press 2

  1. From your main telephone number, dial the Voice Mail retrieval number or *99.
